The 4th annual Tap Into Downtown Odessa, a craft beer and wine experience, will be held on Saturday, March 16th, in Downtown Odessa. The event is hosted by Downtown Odessa, Inc.
The event will feature live music, games, activities, and craft beer and wine tastings. Downtown businesses will have the chance to offer other complimentary and supportive activities/events during Tap Into Downtown Odessa. Tickets will be $20 in advance/$25 at the gate and include 5 free tastings of beer or wine and a commemorative tasting glass.
We invite you to come out and serve some delicious bites at this exciting event!
Date and Hours: 6pm – 11pm; Saturday, March 16th
Fees: Booth fee is $150. Vendor may hold space with a $50 deposit with balance paid in full by Friday, March 1, 2019. If fees are not paid in full by this date, you may not participate in Tap Into Downtown Odessa. Check or money order must be payable to Downtown Odessa, Inc. Fees and deposits are non-refundable. If vendor does not pay fees in full by Friday, March 1, 2019, vendor will not be allowed to participate in event.
Booth space: Individual 10’ x 20’ spaces will be allocated to each vendor. Vendors will be responsible for furnishing their own set-up, including tables and chairs, etc. No items may extend more than two feet from your booth or visually block the booth next to you. All trailers must be unhitched and personal/tow vehicles removed from the festival area. A MANDATORY meeting will take place sometime the week before the event; your organization must have a representative at this meeting.
Electrical outlets: Vendors will be responsible for their own electrical and lighting needs, as necessary.
Set Up/Move Out/Cleanup: Set up begins at 2 p.m. Saturday, March 16, 2019. Your booth must be ready by 4 p.m. Saturday, March 16, 2019 for a safety inspection by the Ector County Health Department, Odessa Fire Marshal and City of Odessa Building Services Department. All private vehicles must be out of event area by 3:45 p.m. A representative must remain in your booth at all times until closing. All vendors need to secure merchandise during the hours of set up, event and tear down. Downtown Odessa, Inc. is not responsible for any lost or damaged items, equipment, or personal property. You are responsible for cleanup of your area during and after the festival. Any dumping of grease will result in a fine. Any damage to public space, trees, electrical outlets, etc. will be the responsibility of the vendor.
Location: Vendor spaces will be assigned for food trucks and trailers. Location of vendor parking areas for personal vehicles will be communicated to you before the event.
Insurance: Vendors must provide a copy of their of general liability insurance ($500,000 minimum) with Downtown Odessa, Inc. and the City of Odessa listed as Additional Insured by March 8th. Vendor will not be allowed on grounds without appropriate insurance certificate on file with Downtown Odessa, Inc.
Permits: Vendors must provide a copy of Ector County Health Permit.
DEADLINE FOR RETURNING THIS CONTRACT IS FRIDAY, MARCH 1, 2019. MAKE ALL CHECKS OR MONEY ORDERS PAYABLE TO DOWNTOWN ODESSA, INC. Cash is accepted in the Downtown Odessa office only. Do not mail cash. Mail checks or money orders to: Downtown Odessa, Inc. P.O. Box 4398, Odessa, TX 79760. Credit cards are also accepted in office or over the phone.
